Step by step explanation about how to extend an option
You click on "My Requests" in the Main Menu and then go to "Pending Proposals.”
Select the request you wish to extend an option for, by clicking on the pink button "View 1 of 1 RFPs".
Under "Option data" you can see when the option expires for each RFP.
Then select the Request whose option you wish to extend and click on "Extend Option date".
It is possible to extend the option only if the status of the request is: "Pending planner decision" or "Waiting for approval". Please note that it is only possible to select one request at a time.
After clicking on "Extend Option date," the following pop-up will appear:
This screen shows the venue name, current option status and current option date.
The Requested Option Date and Requested Option Status can be entered by you here.
You can only select an option date prior to the booking arrival date.
Clicking "Send to venue" will send an option renewal request via email to the venue.
Clicking the "Extend Option Date" pop-up button again for the same location will reveal the newly requested option date. In addition, it will display a notification when the extension request has been sent to the site.
If the venue agrees to extend the option, you will see the new option date in your requests summary under Option Data.
In case the venue has rejected the option extension request, the overview with your requests still shows the originally entered option date. You will also receive an email notification.
